1. Who We Are
This Privacy Notice explains how Physically Fit Forever, a business owned by Bartley Weaver IV, handles personal data collected through physicallyfitforever.com.
We are the data controller for the personal data described below. That means we decide how and why your data is processed. If you have questions or want to exercise your rights, contact us at bartley@physicallyfitforever.com.
2. Personal Data We Collect

- To communicate with you — responding to your applications, questions, and support requests; sending you access links and coaching updates. (Legal basis: performance of a contract; consent for optional updates.)
- For security and fraud prevention — rate limiting form submissions and protecting the site. (Legal basis: legitimate interests.)
- To improve the Service — understanding how the site is used. (Legal basis: legitimate interests.)
- To comply with law — keeping records where legally required. (Legal basis: legal obligation.)
4. How Long We Keep Your Data
We keep your data only as long as needed for the purposes above: application data for up to 24 months if you are not accepted (or until you ask us to delete it); coaching client data for the duration of your plan plus a reasonable period afterward so we can support you; purchase records for as long as required by tax and accounting law. When data is no longer needed, we delete or anonymise it.
5. Who We Share Your Data With
We only share your data with the following categories of recipients:
- Paddle.com — our Merchant of Record, which handles the sale of our products, subscription management, payments, tax compliance, and invoicing. When you buy something, Paddle processes your payment data under its own privacy policy (available at paddle.com/legal/privacy).
- Service providers and subprocessors — companies that host our website and database, send transactional emails on our behalf, and provide scheduling and communication tooling.
- Professional advisers — legal, accounting, and insurance professionals who support the business.
- Authorities — where we are required to share data by law, or to protect our rights and safety.
We never sell your personal data, and we never share your progress photos or coaching content publicly without your written permission.
6. International Transfers
Our service providers are located in, or may process data in, countries outside the United States. Where personal data leaves your country, we rely on appropriate safeguards such as the EU Standard Contractual Clauses or an adequacy decision to protect it.
7. Your Rights
Depending on where you live, you have the right to: access the personal data we hold about you; correct inaccurate data; delete your data; restrict or object to certain processing; data portability; and withdraw consent where we rely on it. If you are in the EU/EEA or UK, you also have the right to complain to your local supervisory authority.
To exercise any right, email us at bartley@physicallyfitforever.com. We respond to requests within one month.
8. Security
We use appropriate technical and organisational measures to protect your data, including encryption in transit, access controls, and limiting personal data to what we need to provide the Service. No method of transmission over the internet is completely secure, but we take protecting your data seriously.
9. Cookies
The website uses only essential cookies needed for the site to function (such as keeping the site working and protecting forms from abuse). We do not run advertising or third-party analytics tracking cookies. You can manage cookies through your browser settings.
